Mandatory Photographic Evidence for Measurements
Objective: This procedure outlines the standardized method for utilizing mandatory photographic evidence in conjunction with measurement recordings within the Infraspeak mobile application. The integration of photographic evidence serves to provide verifiable proof of the accuracy and context of recorded measurement values, enhancing data integrity and compliance.
Applicability:
- System Administrators/Managers: Responsible for configuring measurements that necessitate mandatory photographic evidence, including defining the permissible sources for image attachment (e.g., camera-only, gallery access) via the Infraspeak web platform.
- Technicians: Responsible for adhering to this procedure by capturing and attaching the required photographic evidence when performing tasks involving such measurements using the Infraspeak Next mobile application.
Procedural Steps for Technicians (Infraspeak Next Mobile Application):
1. Task and Measurement Access: * Access the assigned Work Order or Planned Job. * Navigate to the designated asset (Location or Equipment) associated with the task. * Select the relevant task to view its detailed components, including the list of associated measurements.
2. Identification of Measurements Requiring Mandatory Photographs: * Measurements requiring photographic evidence will be distinctly indicated within the user interface, typically with a clear visual cue signifying this requirement.
3. Recording Measurement Values: * Prior to photo attachment, input the quantitative value or select the qualitative option for the specified measurement. * Critical Note: A measurement is formally considered incomplete until both the measurement value/option has been recorded AND the mandatory photograph has been successfully attached. The measurement status indicator (e.g., color coding) will reflect this incomplete state until both conditions are met.
4. Attachment of Mandatory Photographic Evidence: * Subsequent to recording the measurement value, the system will prompt for or provide an option to attach the required photograph/document. * Initiate the attachment process by selecting this control. * An interface will be presented, displaying the permissible attachment methods (e.g., "Take Photo," "Choose from gallery," "Choose document"), as configured by the system administrator. * Utilize the appropriate method to capture a new image or select an existing one.
5. Confirmation and Finalization: * Upon successful attachment of the photograph/document and recording of the measurement value/option, the measurement will be formally registered as complete. * Attempting to proceed without attaching the mandatory photograph after value entry may result in a system warning indicating that a document is required.
Operational Protocols and Considerations (For Technician Adherence and Management Oversight):
- Task Completion Prerequisite:A task incorporating measurements with mandatory photographic evidence can only be designated as 'Done' subsequent to the fulfillment of all such measurement requirements (i.e., value/option recorded AND photograph/document attached for each).
- Attempting to finalize a task without meeting these criteria will typically trigger a system warning, providing options to review the incomplete measurements or cancel the task.
- Offline Functionality: The system is engineered to support this process in offline environments. All recorded data and attached photographs will be queued for synchronization upon restoration of network connectivity.
- Order Closure Dependencies:Closure of a Work Order or Planned Job Order containing tasks with incomplete mandatory measurement requirements is contingent upon either:
- Full completion of the measurement (value input and photo attachment) AND subsequent marking of the task as 'Done.'
- OR Formal cancellation of the task.
- Failure to adhere to these conditions prior to attempting order closure will result in a system warning.
- Device Permissions: Ensure that the Infraspeak Next mobile application has been granted necessary camera and/or gallery access permissions on the mobile device to facilitate image capture and selection. The application is designed to request these permissions if not already enabled.
